Overview
Line Item Details

This section of the budget is known as Line Item Details, the third level of the budget. Sometimes referred to as the Sub-Account. Here, the user works directly with the actual project costs, tracking expenses for labor, purchases, rentals, general allowances, and any other custom transactions they wish to monitor along with entering hiring information.
Accounts on the Topsheet and Account levels must be created before the Details level can be accessed. Each Account has its own corresponding Details level.
The sum of all costs at the Details level represents the total for the parent Account.
Getting here
Drill down from the Account level: double-click a sub-account, press Ctrl/⌘ + ↓, or right-click → Down to Line Details. The header band above the grid shows the full account number and the sub-account's name, and the breadcrumb buttons track your level.
Moving around:
- Ctrl/⌘ + ↑ goes up to the Account level; Ctrl/⌘ + T jumps straight to the Topsheet.
- Ctrl/⌘ + → and ← move to the next or previous sub-account without going back up — walk an entire account line sheet by line sheet.
- Right-click offers Up to Topsheet and Up to Account, and the Navigator tracks along.
What you're looking at
Five kinds of rows share the grid:
- Detail lines — the working rows: description, type, location, dates, amount, unit, multiplier, rate, and the computed Subtotal, Tax & Fringe, Incentives, and Total.
- Smart Group headers — Cast (green), Crew (blue), and Vendor (purple) header cards that group the lines beneath them and carry the hire story: name, position or role, hire city and type, dates, the Ratebook link and affiliation, Hire Rate and rate type (Daily, Weekly, Hourly, Monthly, Flat), guarantee, days per week, loanout, notes, even an IMDb link. Hourly hires get a pay-hours card (Standard / Prep-Wrap / Minimum / Extended pay and work hours). Collapse a header to a one-line summary; Ctrl/⌘ + E collapses or expands them all.
- Subtotal rows — close out each smart group (or stand alone via Insert Subtotal), totaling everything since the previous subtotal. Their + button adds a line above.
- The Total row — always last, read-only, summing every in-use line converted to the budget's primary currency.
- Dividers — gray spacer rows for visual grouping.
Below the grid, an Associated Lines panel appears when lines elsewhere in the budget reference this account — "The amounts shown are not included in this account's totals."
Columns and ViewShift
Minimal View shows the everyday columns: Use, Sub Account, Details, Type, Location, Phase, Day Type, Start/End Date, Episodes, Amount, Unit, Multiplier (X), Rate, Currency, Subtotal, T & F, Incentives, and Total. Full View (the ViewShift toolbar button) adds the deep-dive set: Tags, Universals, Qualified, Assoc. Ref., Line Cap, Tracking 1–2, Co. Unit, and the five user-defined columns U1–U5.
A few column notes:
- The money columns (Amount, Unit, X, Rate, Currency, Total) and Use can't be hidden; everything else is toggled in the Line Item Columns menu (⋮), which also has a Reset for column widths.
- Computed columns — Subtotal, T & F, Incentives, Total, Tax %, Qualified, Episodes, Notes — are read-only; they're driven by what you enter and apply elsewhere.
- Tracking 1/2 and U1–U5 can be renamed per budget, and each U column can carry its own math (multiply, divide, add, subtract) into the subtotal.
- A thin bracket indicator beside Tax % marks lines that belong to a fringe range.
The math
For a normal line: Subtotal = Amount × Rate × Multiplier (X) — with two twists: a % unit computes Rate × (Amount ÷ 100) × X, and a Flat hire rate uses the Rate value as-is. Then any U-column math applies, a Line Cap clamps the result if one is set, and Total = Subtotal + Tax & Fringe − Incentives. Every line's total converts through its currency into the budget's primary currency for the roll-ups above.
Amount, Rate, X, and the date cells accept more than numbers:
- Arithmetic —
1500*2+300 - Line references — every line has a 4-character [ID] (bracket path);
[AB1A]pulls another line's value, andlinesubtotal[AB1A],linetotal[…],linefringe[…],lineincentive[…]pull its computed figures. - Worksheet references —
[WS1:A5]links a Worksheet cell (see Worksheet). - Universals — type a universal's name; a typeahead offers matches.
- Data References — right-click tokens like
DateSch,DateSpan,DateRW,RateCalc,Scalethat compute from the calendar and smart-group data.
Turn on the Formula Overlay preference to see the formula behind a cell (e.g. ([WS1:A1]+[AB1A])+Universal1) instead of just its value.
Editing basics
- Edit Mode governs everything: off, the grid is read-only and the right-click menu is gone. A locked major or sub-account does the same ("This Account is Locked"), and a suppressed line's cells lock until it's re-enabled.
- Selecting rows or cells feeds the HUD and the Sidebar's Selected Total — whole rows sum Totals; a column of cells sums that column.
- Everything is undoable with Ctrl/⌘ Z.

Special cases
- Compare Mode — the compare header cards follow you down, but the grid itself stays your budget's lines; there are no compare columns at this level.
- Filter Budget — non-matching lines are hidden, and smart groups with no matching lines hide with them.
- Shared budgets — edits from collaborators appear live, and access changes apply in real time; locking is inherited from the account level rather than per line.
