Ratebooks in workspaces
How ratebooks work depends on the workspace plan.
Studio workspaces — ratebooks are bundled
- Every member sees the whole ratebook catalog under Library → Ratebooks → My Ratebooks. Nobody needs to buy anything, and the Ratebook Store button (and the in-budget Ratebook Store card) is hidden while you're in the workspace.
- Ratebook content is downloaded on demand: a card you haven't used yet shows a Sync Ratebook button. Click it (you'll see "Ratebook synced successfully."), then double-click to open.
- In a budget, Ratebook Manager → Import from My Library → My Ratebooks lists every workspace ratebook.
Institutional workspaces — each member buys their own
- My Ratebooks shows only the ratebooks you personally own or subscribe to.
- The Ratebook Store is available inside the workspace. Open it from Library → Ratebooks → Ratebook Store, or from the card in the budget's Ratebook Manager. Each card shows Buy – $X or Already Purchased and its Valid until date.
- Buying: free ratebooks activate immediately; paid ones open the Ratebook Subscription dialog (payment method, subscription period, next renewal date, promo code, estimated tax → Subscribe). You'll see Purchase Complete — Your ratebook subscription is now active and available for use in your Ratebook Library.
- A ratebook you buy is tied to you, not the workspace — it works in your personal library and in the Institutional workspace. It is not shared with other seats; each member buys their own.
- Manage or cancel a ratebook subscription from My Ratebooks → right-click → Manage, or Account Manager → Billing (ratebook cards with Status and Manage). Canceling keeps access until the end of the paid period; you can reactivate any time.
Personal library
Same as Institutional: you see the ratebooks you own, and the Ratebook Store is available (on plans that include View and Purchase Ratebooks).
Switching contexts or leaving a workspace
- When you switch between your personal library and a workspace the app re-downloads the ratebooks for that context, so you need to be online for them to appear.
- Studio-bundled ratebooks are only available while you're in that Studio workspace. If you leave or are removed, they're gone; your own purchases stay with you.
- Budgets are unaffected either way — rates are stored on the budget's detail lines when you apply them, so existing numbers don't change if a ratebook later becomes unavailable. The ratebook would simply no longer be offered in the Ratebook Manager / rate-link picker.
Custom ratebooks
The app does not currently offer a way to create your own ratebooks; the catalog is curated and maintained by Line Budgeter ("Automatic updates when rates change").
